Switching accounts & workspaces

Which account and workspace you are looking at, and how to change it.

Two things that both get called "switching"

They are different, and mixing them up is the source of most "where did my post go?" confusion.

An account is a billing entity. It has a subscription, a channel allowance, and a member list. You might belong to more than one — your own, plus a client's who invited you.

A workspace lives inside one account. It is a brand: its own channels, pillars, posting schedule, tags and content. One bill, many workspaces.

Switching accounts changes whose subscription you are working under. Switching workspaces changes which brand you are working on.

Switching

Both live in the same menu, from your avatar in the top corner. Accounts are listed first, then the workspaces inside the current account.

Your choice sticks across sessions. Log back in tomorrow and you are where you left off.

What follows the switch

Almost everything is scoped to the workspace you are in:

  • The content board, calendar and queue
  • Which channels you can post to
  • Tags
  • Content pillars and the brand identity applied to drafts
  • Analytics
  • Approvals

Which means a post you cannot find is usually in the workspace you are not looking at. Check the switcher before concluding it is gone.

A few things are account-wide rather than per-workspace: billing, the member list, the media library, and your AI usage allowance.

And a few are yours personally, following you everywhere: your voice profile, your email digest settings, your Vault clips, your notification preferences.

The one that catches people

Connecting a channel puts it in the workspace you are currently in.

If you are in the wrong workspace when you start an OAuth flow, the channel lands in the wrong place. It is a common enough mistake that DemandBird now checks: re-authorising a channel from a different workspace asks you to confirm the move before doing it, rather than relocating a client's channel on a mis-click.

A channel can only be in one workspace at a time. Moving it moves its schedule and its history with it.

Different permissions in different places

Your seat is per account, and your role can differ per workspace. You might be an admin in your own account and a review-only client seat in somebody else's.

So the app can look quite different after a switch — fewer pages, no billing, a locked view. That is the seat you were given there, not a bug.

Working across workspaces at once

Some views are deliberately cross-workspace so an agency does not have to switch to get an overview: the cross-client calendar, and the roll-up of posts awaiting your review.

Anything that writes still needs you to be in the right workspace.

Availability

Multiple workspaces start at Business; Pro has one. Belonging to several accounts works on any plan, including being a free client seat on somebody else's.
